Creating a Catalog


This demonstration is part of a set of related demonstrations that detail Catalogs management.

 

In this demonstration, you will learn how to create a catalog.

Steps:

  1. You are creating a new catalog for the Training Products Catalog training materials line.  You need a catalog that supports a category hierarchy and allows sharing of categories and items from an existing catalog.

     

    To begin creating the catalog, click the Manage Catalogs task.

  2. The Manage Catalogs page includes a table that lists all existing catalogs.

     

    Click the Create icon.

     

    You can also select Create from the Actions menu.

  3. Enter the name of your new catalog into the Catalog Name field.  In this example, your catalog name is Training Products Catalog.

    The catalog is created based on the name and catalog structure you provide.

     

    Enter Training Products Catalog.

  4. Enter a description of your new catalog into the Description field.  In this example, the catalog is for training materials.

  5. The start date defaults to the current date, but you can select a future start date if you want to continue working on the catalog before you make it available for operations. The catalog will not be active until the start date is equal to the current date.

     

    You enter start and end dates using the specified date format.

    In this example, you enter the end date   6/10/12.

  6. Notice that the catalog code, a unique identifier for your catalog, is created automatically by adding underscore elements to your catalog name.

  7. The catalog structure is the key flexfield structure you use to define the catalog.  The catalog structure controls the categories you can add to the catalog, because the structure of all categories must match the catalog structure.

    Catalog structure values are defined during initial setup.

     

    In this example, you select  Product Family.

  8. Notice that the Controlled At field is required and that it defaults to the master level value.  The master level value enables the automatic assignment of items to all child organizations associated with the master organization.

    You can optionally select the organization level value.

  9. The catalog content value controls what content you can add to the catalog and where the content can be added.

    The attribute named Items at leaf level allows you to add items to the lowest-level categories in the hierarchy only.

     

    Select Items at leaf level from the Catalog Content list of values.

  10. If you opt to enable hierarchies for categories, then you can create a hierarchy for the catalog. If you do not enable hierarchies, then all categories in the catalog are associated with the catalog root.

     

    Select the Enable hierarchies for categories check box.

  11. In the Sharing region, you can designate a source catalog to reference your catalog content from.

    The source catalog can be any catalog that does not have a Source Catalog value defined for it. You can add categories, category hierarchies, and assigned items to your catalog from the source catalog.

     

    In this example, you select Product Catalog.

  12. The Sharing Content field controls what content can be added from the source catalog by restricting which categories can be added from the source catalog. To add a category from the source catalog, the category's Catalog Content value must match the catalog's Shared Content value.

     

    Select Items and Categories from the Sharing Content list of values. With this selection, you can add categories from the source catalog that have a Catalog Content value of Items and Categories. Those categories can contain both items and categories.

  13. Click Save and Close to create your catalog.

  14. After you have created a catalog, you can use the Search function to locate the catalog.

     

    Click the Expand icon to expand the Advanced Search region.

  15. You can use your catalog name to search for your catalog.

     

    Enter Training Products Catalog and select a search operator at the Catalog Name field.

     

    Click Search.
