How To Change the Document Status

 

What to do:

Select Start > Documents > All Documents.

Search for DOC-1800 Product Catalog.

View the current status selecting Organization > Status > Show from the context menu.
The current status as well as possible states to change to as well as groups which can undergo a status change are displayed in the footer:

Check the current status in the message window. In our example, it should be 110 - In Work.

Select Organization > Status > Change from the context menu.
A selection menu is opened. Only those status changes are displayed, which are planned for the group in the selected review process.

 
The displayed states depend on the group they belong to. If the status change is not possible or the desired entries are not displayed, make sure that you are in the correct group. Change the group if necessary.

Select the new status 120 In Approval.

{short description of image} Repeat steps 4 to 5 till the status is set to 230 Released.
A document with a structure can only be released if all lower-level documents have been released!
Change Management
If the Digital signature function is used, the item is also signed when this status is set (230-Release).

When changing to the Released status, a window is opened which can be used to enter the validity period.

Enter the current date in the Valid From field and 01.01.xxxx (the following year) in the Valid Until field.
The values are applied to the Valid from and Valid until fields in the General data tab.

To confirm click OK.
