Add Roles to a Group

The roles assigned to a group determine the roles that will be assigned to the group's participants.

To add a role assignment to a group:

    1. In the left pane of the Process Administrator, click Groups.

    2. On the Groups page, click a group Name.

    3. On the Groups | Edit Group page, click Assigned Roles.

    4. On the Groups | Edit Group | Assigned Roles page, click Add.

    5. On the Groups | Edit Group | Assigned Roles | Role Assignment page, select a Role ID.

    6. If the role contains multiple assignments, select an Assignment.

    1. Select a role Category.

The role category indicates the hierarchy of participants in relation to other participants in the same role. Roles can be assigned to ranks 1 - 9, with 9 being the highest and 1 being the lowest. Participants can reassign work items based on their role ranking. Participants with higher ranks can delegate work items to participants with lower ranks if they have been assigned the delegate permission. Participants with lower ranks can escalate work list items to participants with higher ranks if they have been assigned the escalate permission. Participants with the peer assignment permission can assign work items to other participants with the same rank.

Role permissions determine the options available to participants in WorkSpace. Role permissions include:

Execute Process icon in the Activity column in the work item list Allows participants to process a work item. none
Route Send, Send To, Back buttons in the toolbar Allows participants to send a work item to the next activity in the process, send a work item back to the previous activity in the process, and send a work item to a specific participant assigned to the role for the next activity in the process. The back action is only available to a participant if an exception handler was included in the process design and an exception occurred that invoked the exception handler while the participant was executing the work item.
Suspend Suspend/Resume buttons in the toolbar Allows participants to pause a process at the work item activity and make the process unavailable to other users until resumed. The suspend property must be defined for the activity in the process design.
Abort Abort button in the toolbar Allows participants to abort a work item. The activity must be defined as abortable in the process design.
Delegate Reassign/Delegate icon in the Description column in the work item list Allows participants to reassign a work item to another participant with a lower rank. none
Grab Grab/Ungrab buttons in the toolbar Allows participants to grab a work item from another activity in the process. The grab activity must be included in the process design or the activity must be defined as grabbable.
Escalate Reassign/Escalate icon in the Description column in the work item list Allows participants to reassign a work item to another participant with a higher rank. none
Peer Assignment Reassign/Peer Assign icon in the Description column in the work item list Allows participants to reassign a work item to another participant with the same rank. none
 

Note: A participant is only able to use assigned permissions if a process has been designed to include the activities that correspond to these permissions. For example, a participant will only be able to grab a work item if they have the grab permission and their role has a grab activity in the process that was created in Studio.
