How do I create or modify a profile?

If you are using release 9.0.4.x:

  1. To modify a profile, go to your Control Panel and double-click the Mail icon.
  2. Click Show Profiles.
  3. Select the appropriate profile and click Properties.
  4. Select Oracle Connector for Outlook and click Properties. The Oracle Connector for Outlook Profile Settings dialog box opens.
  5. Make the appropriate changes to the profile.

If you are using release 10.1.1:

You can create or modify a profile from the Oracle Connector Configuration Wizard. To create a new profile, click New and enter a name for the new profile. To configure an existing profile, select it from the Profiles list. In release 10.1.1 of Oracle Connector for Outlook, you do not have to configure at the time of installation because the configuration wizard is a standalone application that can be started from the command prompt or from Windows Explorer.

In release 10.1.1 of Oracle Connector for Outlook, you can also create additional profiles after installation using a PRF file that contains user profile information. See your administrator for more details.

Why does the setup procedure fail when I attempt to install Oracle Connector for Outlook?

This problem occurs because Microsoft Outlook was installed in Internet Mode Only. To successfully install Oracle Connector for Outlook, you must install Microsoft Outlook in Corporate/Workgroup mode.


For Outlook 2000:

  1. Start Outlook.
  2. From the Tools menu, select Options.
  3. Select the Mail Services tab.
  4. Click Reconfigure Mail Support.
  5. Select the Corporate or Workgroup option.
  6. Follow the on-screen instructions.

Your e-mail configuration is now compatible with Oracle Connector for Outlook.

How do I browse distribution lists and view their memberships?

Release 10.1.1 of Oracle Connector for Outlook supports browsing distribution lists (DLs) from the Global Address List (GAL). If you have the appropriate viewing rights for a DL, you can also right-click the DL to see the membership list.

To browse DLs:

  1. Select Address Book from the Tools menu in Oracle Connector for Outlook.
  2. Start typing the name of a DL and ensure that it is represented in the GAL (a DL icon is displayed to the left of entries that are DLs).

To view a DL's membership:

  1. Right-click a DL in the Address Book.
  2. The DL members are visible if you have the appropriate rights set in the Oracle Internet Directory (OID).

How do I share my contacts with other users?

With release 10.1.1 of Oracle Connector for Outlook, you can now share your contacts with other users, or view and search address books that other users have shared with you. There are two categories of roles that users can grant each other when it comes to contacts:

‘Read only’ permission (Reviewer): Grantees can view and query all contacts and distribution lists in the owner’s address book, but they cannot make any modifications to entries. However, users do have the option of copying selected contact entries to their own address book.

‘Read/Write’ permission (Editor): Grantees can modify and delete entries.

However, privacy is maintained because the address book owner can set specific Contact entries to Private; these contacts are not viewable by anyone.

NOTE: To share your contacts with other users, or to be able to view and search the address book that another user has shared with you, both parties need to be using release 10.1.1 of Oracle Connector for Outlook.

How do I migrate data from Exchange to Oracle Connector for Outlook?

A simple migration of data can be done by exporting your .PST file from Exchange, and importing the file into Connector for Outlook.

All the data you own follows you to the new system. If you are using the same computer, all this transfer requires you to do is to point to the same PST location you were previously using with Microsoft Outlook and Microsoft Exchange. To do this, import your Personal Folder File (.pst) to Oracle Connector for Outlook.

To import your Contacts and Personal Folders to Oracle Connector for Outlook, follow these steps:

  1. Start Oracle Connector for Outlook.
  2. From the File menu, select Import and Export.
  3. Select Import from another program or file.
  4. From the list, select Personal Folder File (.pst).
  5. Select the file for the import.
  6. Select the folder to import from, such as Contacts, Calendar, or Tasks.
  7. Select the folder to import into and click Finish.  

NOTE: You can also choose to keep your Personal Folders as a separate PST folder and not import this information to Oracle Connector for Outlook.

How do I customize my current view to show grouped items?

The current view can be customized in any way permitted in the View Summary dialog box (select Current View and then Customize Current View from the View menu). The grouping features are implemented in this release of Connector for Outlook. Click Group By in the View Summary dialog box. Then select an option from the Group items by drop-down list in the Group By dialog box.

How do I set e-mail reminders for my calendar meetings?

The ability to set reminders on mail messages is implemented in release 10.1.1 of Oracle Connector for Outlook.

You can set automatic e-mail reminders for meetings and all day events as well as set an alternate e-mail address where reminders can be sent.

How do I create a new folder of specific item types?

The ability to create and share Outlook data folders of all Outlook data types — like calendar, tasks, e-mail messages, and contacts — within any IMAP folder, is implemented in release 10.1.1 of Oracle Connector for Outlook.

This feature requires release 10.1.1 of Oracle Connector for Outlook to be connected to the Oracle Collaboration Suite 10g Mail server.

To create a new folder:

  1. From the File menu, select the Folder, then New Folder. Alternatively, right-click a folder and select New Folder.
  2. From the Folder contains drop-down list in the Create New Folder dialog box, select the type of item you want your new Outlook data folder to contain. Choices include mail, calendar, contacts, journal, notes, and task items.
  3. Select where you want to place the new folder. You can do this by selecting a parent folder under Select where to place the folder.

How do I enable wireless messages from Oracle Connector for Outlook?

Wireless messages for all components of Oracle Collaboration Suite are managed from one central location. After setting up your wireless information, you must enable Calendar notifications and reminders.

To set up your wireless information:

  1. Log in to Oracle Collaboration Suite.
  2. Click Voice & Wireless.
  3. Enter the required information.
  4. Click Next.
  5. Click Advanced.
  6. Select the On The Go contact rule and click Edit.
  7. In the Notification Details section of the Edit Contact Rule page, select by SMS from the Notification Channel drop-down list.

To enable Calendar notifications and reminders from Oracle Connector for Outlook:

  1. From the Tools menu, select Options.

How are server-side rules and client-side rules different?

Similar to the Client-Side Rules Wizard available in Outlook, Oracle Connector for Outlook enables you to set server-side rules. Server-side rules are performed directly on the server. Client-side rules are only performed when you are logged in to your mail client. The use of client-side rules often slows down the performance of Outlook.

Server-side rules are performed on the server, so the mail messages associated with rules you set are transferred into the appropriate folders before you even log in to Outlook.

Yes, you can choose to have your mail folder counts automatically refreshed when you log in to Outlook. In addition, you can specify how often your mail folder counts should be refreshed during an Outlook session. You cannot set a refresh rate that is lower than five minutes. This information must be set on the Other tab of the Oracle Connector for Outlook Profile Settings dialog box.

How do I skip a server connection when logging on?

When I use a non-English version of Oracle Connector for Outlook, why do some words in the body or header of notification messages appear in English?

If you see any words in the body or header of a notification message that appear in English instead of the language of the Oracle Connector for Outlook installation that you are using, there is a mail format option you need to modify in Outlook.

  1. Select Options from the Tools menu in Outlook.
  2. Select the Mail Format tab.
  3. Click International Options.
  4. Make sure the options Use English for message flags and Use English for message headers on replies and forwards are not selected.

    NOTE: If Use English for message flags is selected, message flags appear in English. For example, such flags as high importance and Follow Up are displayed in English. If Use English for message headers on replies and forwards is selected, message header fields in a forwarded message or reply — such as From, Sent, To, and Subject — appear in English. If Use English for message headers on replies and forwards is selected, When and Where in the notification message body also appear in English.

When I try to accept an event, why am I told that the event does not exist in my calendar and that I should contact the organizer?

If an event was deleted, it no longer exists on the server, but you may need to clear the cache on your local computer. Otherwise, the meeting may appear as if it is there, but you receive an error when you try to open it. Select the folder containing the event you could not access. Select Refresh This Folder from the Tools menu in Outlook.

Why am I still waiting for a Web conference ID?

If you have scheduled a Web conference for a meeting request you created but the Oracle Web Conferencing server is down, the Web conference will not be created on the server. Contact your administrator for more information.

If you are regularly experiencing a problem with a pending Web conference ID, it could be that there is a configuration error between the calendar server and the Web conferencing server.

Why can't I customize my current view?

The current view can be customized in any way permitted in the View Summary dialog box (select Current View and then Customize Current View from the View menu). The sole exception is that no grouping features are implemented in this release of Connector for Outlook. If you attempt to change the settings in the Group By dialog box, the following message will appear when you click OK in the View Summary dialog box: "The sorting or group by operation failed. Either these folders do not support sorting or the conditions are too complex. Sorting and group by settings have been reset." Make sure that the Group By value in the View Summary dialog box is set to None before you click OK.

NOTE: The grouping features are implemented in release 10.1.1 of Oracle Connector for Outlook.

Why can't I receive read and delivery receipts?

Oracle Connector for Outlook will process your requests for read and delivery receipts normally. However, these requests may or may not be honored by the IMAP e-mail server and the SMTP e-mail delivery server that handle your messages on the way to their destination. Some mail servers cannot process read and delivery receipts. Others with virus checking software installed may consider the code for your request to be a potential virus hazard, and delete it. Why can't I create a new folder?

New folders you create in your Oracle Calendar profile or in a public folder on the e-mail server may only contain mail items. Ensure that the Folder contains field of the Create New Folder dialog box is set to Mail Items before you click OK. Personal folders you create locally on your machine may contain any kind of items.

NOTE: The ability to create a new folder is supported in release 10.1.1 of Oracle Connector for Outlook.

Why isn't my Out-of-Office reply working?

When you set an Out-of-Office reply, you must specify an expiry date. Verify that the expiry date you set hasn't already passed (From the Tools menu, select Out of Office Assistant). You can extend your Out-of-Office reply by changing the expiry date in the Out of Office dialog box.

I cannot select the folders I want synchronized for offline use. Why are all the folders in the list disabled?

Can I switch between Internet Mode Only (IMO) and Corporate/Workgroup (CWG)?

Using Outlook 2000, you can toggle between IMO and CWG once you have used both modes once. Outlook XP does not have this limitation and supports all modes in the same configuration. Outlook 98 requires a reinstall of Outlook from CD when changing modes.

We recommend staying in CWG mode and creating multiple profiles for your different mail accounts. Once this is complete, you can select the Prompt for a profile to be used option by selecting Options from the Tools menu and then selecting the Mail Services tab.

Why do meetings disappear from my Calendar after I decline invitations?

When you decline a meeting, Outlook automatically transfers the invitation to the Deleted Items folder. The Oracle Calendar desktop client handles declined meetings differently. You can set your preferences to show declined meetings in your agenda. If you do, these entries are displayed with the declined meeting icon.

The Slow Connection Detection dialog box appears when I launch Oracle Connector for Outlook. What should I do?

If you set Oracle Connector for Outlook to detect slow network connections and select the Prompt option, the Slow Connection Detection dialog box appears when a slow network is detected when the IMAP4 and calendar servers are polled at startup.

If you click Yes, some features that require more bandwidth, such as automatic folder refreshes, synchronization on exit, and client-side rules will be disabled.

You can set Oracle Connector for Outlook to detect slow network connections and disable network-intensive features without displaying the Slow Connection Detection dialog box at startup. See the Configuration section of the Oracle Connector for Outlook online help for instructions.
